Please note: StaarCast is a developing website. We are actively building and improving it, so not all functions will be available yet, and some things may not work properly. If you run into something that doesn’t work, please tell us — see Reporting Problems below. Your reports genuinely help us make the site better.
This guide explains how to create and manage your meetings and videos on StaarCast. Everything is done right on the site — when you click a button such as Add Meeting or Edit, a window (a “modal”) opens on top of the page where you can make your changes without leaving the page.
Note: some options described below only appear if your membership level includes that feature. If you don’t see a button mentioned here, your account doesn’t currently have access to it — you can upgrade your membership or use the Request Access option when it is offered.
Signing In
You must be logged in to manage meetings and videos. If you open the Meetings or Videos page while logged out, you’ll see a Login Required notice with Log In and Register buttons — clicking either opens the sign-in window right on the page.
Your Meetings Page
The Meetings page lists your upcoming and live meetings. Each meeting card shows the title, scheduled date and time, the room it will run in, and an Entry opens time telling you when the doors open for you. A meeting that is currently running shows a LIVE badge, and unpublished meetings show a Draft badge.
On each card you may see:
- Join Now — appears while the meeting is live; opens the meeting room.
- View Room or View Details — visit the meeting’s page before or after it is live.
- Edit (pencil icon) — opens the editing window described below.
- Trash icon — deletes the meeting. You’ll be asked to confirm; deletion cannot be undone.
Creating a Meeting
Click Add Meeting at the top of the Meetings page. The Add New Meeting window opens with these fields:
- Title (required) — name your meeting.
- Description — tell attendees what to expect. The small toolbar lets you add bold, italics, lists, and links.
- Room (required) — every meeting must be assigned to a room; the room is where the meeting actually happens.
- Start Date & Time and Meeting Duration — choose from 15 minutes up to 90 minutes.
- Status — Draft keeps the meeting private while you prepare it; switch it to Published when you’re ready for it to be visible.
- Meeting Background Image — optionally set a custom background for the meeting room.
Click Create Meeting to save. To make changes later, click Edit on the meeting card, adjust anything you like, and click Save Changes.
Entering and Running Your Meeting
- Doors open early for hosts. As the meeting’s host you can enter before the scheduled start — the Entry opens time on your meeting card is your personal entry time. Attendees who arrive early see a “Not open yet” notice with their entry time, and the page refreshes automatically when the doors open.
- Attendees wait for you. Anyone who enters before the host sees “Waiting for Host — the meeting will begin when the host joins.” As soon as you join, they are let in automatically.
- Click to Join Meeting — on the meeting page, click the overlay to enter the room.
- Recording — use Start Recording and Stop Recording in the meeting controls. Recordings are processed after the meeting and appear on your Videos page.
Inviting a Guest
While you are in your meeting, the meeting controls include a Guest Access button. It opens the Invite Guest window:
- Enter the Guest Name (required) and optionally an email address.
- Click Generate Link. The invite link is created and copied to your clipboard automatically; you can also click Copy, or Send to email it directly to the guest.
- Each link works for up to 5 uses and expires after 24 hours. If a guest’s link has expired or been used up, simply generate a new one.
Ending Your Meeting
When you leave the room as the host, you’ll be asked: “End Meeting? — You are leaving the meeting. Do you want to end the meeting for all participants?”
- Choose No, Keep Meeting Open if you need to step away and return — the meeting stays open and attendees can remain or rejoin.
- Choose Yes, End Meeting when you’re finished — this closes the meeting for everyone. If you recorded it, the recording is processed and then appears on your Videos page.
Your Videos Page
The Videos page lists your recorded and uploaded videos. A meeting appears here after it has ended and its recording has finished processing; until then it stays on the Meetings page. Use the filter at the top to switch between Videos I own, Videos I present, and Owned or presenting.
Each video shows its status (Published, Draft, Private, or Pending) and its upload date, along with:
- View — watch the video on its page.
- Edit — open the editing window described below.
- Delete — remove the video. You’ll be asked to confirm; deletion cannot be undone.
Adding or Editing a Video
Click Add Video to upload a new video, or Edit on an existing one. The editing window includes:
- Title (required), Description, Room (required), Event Date, and Status — the same basics as a meeting.
- Thumbnail Image — set a custom thumbnail, or click Select from Video to use a frame from the video itself. If you don’t set one, a thumbnail is created automatically when the video finishes processing.
- Videos — the video files attached to this presentation. Click Add Video to upload a file; a progress bar shows the upload. You can also Remove an attached video.
Click Save Changes when you’re done. Keep a video in Draft status until you want it visible to others.
Pay-Per-View (Optional)
If your account includes premium content features, both editing windows offer a Pay-Per-View Pricing section. Check Enable Pay-Per-View and set your Base Price — the window shows the minimum price, what each membership level will pay after their discount, the platform fee, and your earnings. For meetings, pay-per-view access includes the recording. Please note the overtime notice in the window: if a meeting runs past its scheduled duration, a small per-minute usage fee is deducted from your payout for the overtime.
Reporting Problems
Found something that doesn’t work the way it should? Please report it — every report goes straight to the development team.
- Go to the Report a Problem page (log in first if you aren’t already).
- Fill in a short Summary and describe What happened? — what you were doing and what went wrong. The more detail, the better. If you can, also say what you expected to happen, and check that the “page where it happened” field shows the right page.
- Click Send Report. You’ll get a reference number — keep it if you’d like to follow up with us about that problem later.
Can’t log in?
If the problem is that you can’t log in at all, you can still reach us: open the Report a Problem page and click the “I can’t log in” link on the login notice. Enter your name and the email address you use for your account and click Send Report — the team is notified right away and will contact you by email. (If you’ve simply forgotten your password, try the Password Reset page first.)
Tips & Troubleshooting
- Every meeting and video needs a room. If you see “Please select a room,” pick one from the Room list before saving.
- Left the page open overnight? That’s fine — the site keeps your session fresh automatically, so buttons keep working on long-open pages.
- Deleting is permanent. Both meetings and videos ask you to confirm before deleting, and there is no undo.
- Recording missing? Processing can take a little while after a meeting ends. The item moves from your Meetings page to your Videos page when it’s ready.
- If something doesn’t look right, reload the page first — and if the problem persists, send us a report from the Report a Problem page (or use the Contact page for anything else).
